Office Manager (part-time)

We are currently seeking an energetic and dynamic Office Operations Manager to join our Team!

The ideal candidate will ‘magically’ take the administrative burden off of the head of the Paris office by taking full responsibility for the office’s day-to-day activities.

In addition to traditional office manager tasks, this role is likely to include handling some bookkeeping as well as supporting the central HR function.

The Wematch platform is used by 900+ dealers at 90+ financial institutions across the globe and features several asset classes, including Securities Finance, Interest Rates Swaps and Equity Derivatives. Over the past couple of years alone, we have raised more than $30m in equity funding to fuel our global expansion, backed by global financial institutions and VCs.

This role will give you the opportunity to: 

  • Provide administrative support and assistance to the head of the Paris office
  • Manage service providers and their billing processes
  • Take an active part in executing company welfare activities together with HR team
  • Manage travel coordination, expense reports, book and arrange travel transportation, etc. It also includes the ability to arrange the entire trip schedule according to business needs and timelines
  • Responsibility for special projects that are relevant to the work of the head of the Paris office
  • Office administrative responsibilities include daily interaction with suppliers, abroad travel, food & beverages, cleaning services, Company guests, and anything related to office infrastructure maintenance.

A bit about you:

  • One year of experience in office management/ administrative role – a plus
  • Proficient with Microsoft Office Suite and experience managing multiple calendars, booking meetings across multiple time zones and coordinating travel
  • Highly developed interpersonal and organizational skills and demonstrates a passion for delivering excellence
  • Excellent communication; able to use written and oral communication in a clear and personal way
  • Excellent attention to detail and the ability to effectively manage priorities
  • Ability to take ownership with a proactive approach, tracking and following through to resolution on all queries and issues.
  • Basic accounting/finance knowledge (degree or significant experience/knowledge – an advantage)
  • Highly proficient in both spoken and written English
